How to do a ERP Data Migration from SAP B1 to ACTouch ERP?

We interacted with few customers, who wanted to migrate from SAP B1, due to the ERP not meeting their Business needs.

Few reasons explained by them are

  • SAP B1 becomes complex for SMB Manufacturing companies. Due to this reason many companies decided to stop using SAP products after working for years.
  • SAP B1 doesn’t have the needed control for Manufacturing Subcontracting operations. Costing is difficult to arrive.
  • MRP is difficult to execute.
  • Worldwide SAP has many ERP project failures and in few cases, large companies have sued the vendors for the business loss. (This is based on market information).
  • Product is so complex with many controls and processes that many are struggling to manage it.
  • Its difficult to retain SAP trained employees as the outside is demand is more. So more investment on Training and retraining.
  • Few faced problem of cost escalation as the number of users increases and the work load increases thats demands workflow, approvals etc.
  • Struggling to get Customisation support from the Software support Vendor as the cost of the development is huge.
  • Few complained (from Indian market) about the multiple cost structures like License Costs, Implementation and Customisation costs. Post that annual Maintenance and Support cost, which adds up more.
  • If you are looking for a simple and easy solution that helps to manage the business, then these solutions doesn’t work due to its heavy nature.
  • Cloud deployment is expensive.
  • ERP Implementation has many challenges and it requires to follow a discipline in the implementation approach.

One of the major challenges that’s faced in ERP implementation (based on our experience) is preparation of Implementation Plan and activities.

Let us address this in one by one.

  1. Decide the ERP Objective of the Data Migration

    – Define what you want to achieve as part of migration from SAP B1 to ACTouch.com? Some of the reasons could be as below.

    1. Multiple Business department integration that’s lacking in your old software.
    2. You want to implement new modules for your business like Manufacturing, Planning modules, Subcontracting, Material Management etc.
    3. Controlling the behaviour of the Products and its part details.
    4. Missing ability to customize.
    5. Better MIS Reports.
    6. Better visibility of process and approvals.
    7. Define a Workflow automation to avoid the decision making process?
    8. Find the process that takes more time to customer delivery
    9. Reduce the manual errors and clerical mistakes.
    10. Make sure customer is happy and on time delivery improves.

2.  Who are the stakeholders for this project?

These are those people who are impacted directly or indirectly, decides the fate of the project.

More than 50% of ERP projects get delayed or failed due to not addressing these stakeholders concerns.
    1. Management team and department heads.
    2. Production department and engineers
    3. Sales and Marketing departments
    4. IT department
    5. Purchase and procurement team
    6. Stores and Inventory controls
    7. Finance
    8. Sales people
    9. External entities like Distributors and Re-sellers.

Identify the above teams and work with them. Find the reasons why they should support your Migration from SAP B1 to ACTouch.com

3.  Define the project plans and milestones.
    1. Define the activities and dependencies. (For example before testing begins the data should have been migrated).
    2. It is also important to define the Milestones and what should be achieved by that time frame? For example
      1. Current System Study completion
      2. Data migration
      3. Customization of Changes of process etc.
      4. User Acceptance Testing (UAT)
      5. Plan for Go live and decide on the Cut-off date.
      6. Live date and what departments are moved to new system.
    3. Who is responsible and when it’s expected to complete?
    4. Who owns the data migration
    5. What portion of the earlier ERP would be migrated?
    6. Is the new ERP implemented at One go or stage wise? If its stage-wise then what are the modules should go first and how the interdependence are addressed? In case of ACTouch.com, many modules are integrated and one activity has an impact across other modules. So it is an important decision process.

4. Post Go-live with ACTouch.com ERP software, how to do the hand holding of your teams and how their issues are addressed?
